Privacy Policy

ABOUT THIS POLICY
At EurotourClub, protecting your personal information is a top priority. This Privacy Policy explains how we collect, use, and safeguard the personal data you provide to us or that we gather when you use our services. It also outlines the steps we take to keep your information secure. Our goal is to help you feel confident when sharing your details with us.

We may update this Privacy Policy from time to time to reflect changes in the law or how we operate our services. It’s your responsibility to review this policy periodically to stay informed about any updates. We recommend checking back occasionally. If there are major changes, we will notify you through our website or, where appropriate, via email.
WHO IS EUROTOURCLUB
EurotourClub is part of a broader network of travel companies. References to “EurotourClub,” “we,” “our,” or “us” refer to EurotourClub LLC and its affiliated brands and partners that operate within our group, including our destination management partners and local travel operators who help deliver tours and travel experiences around the world.

For the purposes of applicable data protection laws (including the EU and UK General Data Protection Regulation (EU/UK GDPR)), the EurotourClub entity with which you enter into an agreement will be the primary controller of your personal information. For example, if you visit our website or purchase one of our travel packages, the EurotourClub entity responsible for that website or trip will manage your data. Similarly, if you are a supplier or travel agent, the relevant EurotourClub entity to whom you provide services will act as the controller of your information.

You can learn more about EurotourClub, our brands, and our affiliated companies at https://eurotourclub.com/about and
https://eurotourclub.com/about, or by contacting us directly using the information provided in the Contact Us section below.

References to “related overseas entities” in this Privacy Policy refer to our international corporate affiliates, as described at
https://eurotourclub.com/about.

This is EurotourClub’s main external privacy notice and applies to all individuals whose personal data is processed by EurotourClub (excluding company employees). It covers all interactions with our customers, partners, and suppliers, as well as information collected through our website (www.eurotourclub.com), mobile applications, and any other online platforms operated by us or our travel partners.

We also encourage you to review the privacy policies of any partner company you engage with, as they may maintain separate notices detailing how they collect and handle your personal information.
WHAT INFORMATION WE COLLECT ABOUT YOU
When you make an inquiry or book a trip
When you inquire about or book a trip with EurotourClub, we collect certain personal information necessary to process your request and provide you with safe and personalized travel services. Depending on how you interact with us and the services you use, we may collect the following information:
  • Your full name, date of birth, gender, title, mailing address, phone number, email address, emergency contact details, dietary preferences, height and weight, travel insurance information, passport details (including nationality and place of birth), and a copy of your passport.
  • We may also collect medical or health-related information, such as pre-existing medical conditions, vaccination status, disabilities, required medications (e.g., those needing refrigeration), and food allergies. Some of this information may be considered sensitive under applicable data protection laws.
  • Any additional information you voluntarily provide during the booking process to help us determine whether a trip is suitable for you.

We also process and store records of the products and services you have inquired about or purchased from us. In addition, we may collect travel-related details (such as flight or accommodation information) that you booked through our partners or third parties if they share that information with us to coordinate your trip.

If EurotourClub assists you with a visa application for countries that require additional documentation (such as China, Iran, or Russia), you may be asked to provide further information, including your occupation, marital status, employment and education history, and certain family details (for example, spouse or children’s names).

When you visit our website, we automatically collect some technical information, such as your IP address, browser type, operating system, and other device identifiers, as well as data about how you use our website. Please see our separate Cookies Policy for details.

We may also receive information about you from other sources, including our travel partners, affiliate programs, service providers, and travel agents. For example, when you book a EurotourClub experience through a partner website or mobile app, that partner may share your booking details with us to complete your reservation.

Travel providers such as hotels, transportation companies, or local operators may also share information with us to ensure proper booking management, respond to support requests, or resolve disputes related to your reservation.

If you link your EurotourClub account with a social media account (e.g., Facebook or X), you may allow data to be shared between us and that platform. You can control or revoke this connection at any time in your account settings.
Personal information of others
If you provide personal information on behalf of another person (for example, booking for a group, requesting visa assistance, or listing an emergency contact), you are responsible for informing those individuals that their information will be shared with us and ensuring they have read and understood this Privacy Policy.

If a booking was made on your behalf by someone else, we may receive and process your personal information from that individual.

If you are listed as an emergency contact, we may collect your name and contact details (such as a phone number or email address). In certain cases, we may contact emergency contacts to confirm their identity and relationship with the traveler.
Financial information
EurotourClub partners with trusted third-party service providers and payment gateways — such as Worldline, Ayden, and Stripe — to securely process payments between you, us, and our affiliated travel partners or agents. These providers may share limited payment information with us solely for the purpose of confirming, managing, or refunding your booking. All third-party processors that handle payments on our behalf are required to comply with PCI DSS (Payment Card Industry Data Security Standards).

In most cases, you will complete your payment through a secure online booking system on our website or an authorized partner platform. You may also make payments by phone directly with your booking agent. In certain cases — for instance, when processing a refund — we may collect your bank or card details over the phone strictly for the purpose of issuing that refund.

For your protection, please do not email or send your payment card information in writing to EurotourClub or any of our partners at any time.

EurotourClub is not responsible for the privacy or data handling practices of third-party vendors or payment processors. We encourage you to review the privacy policies of any third-party service providers you use to understand how they collect and protect your personal information.

With your consent, calls with our representatives may be recorded or monitored for quality assurance, training, and customer service purposes. During such recordings, we may collect information such as the caller’s identity, the date and time of the call, and the topic and resolution of the inquiry. For clarity, any financial information shared during a call is not recorded or stored by EurotourClub.

Photos and videos
During your EurotourClub trip, photos or videos may be taken by your tour leader, a EurotourClub staff member, one of our local partners, or fellow travelers. We always respect your privacy — if you prefer not to be photographed or recorded, please inform your tour leader or the person taking the photos.

Any images taken by EurotourClub representatives (including guides and staff) may be used for marketing or promotional purposes, but only with your prior knowledge and explicit consent. While we take every reasonable step to respect your privacy, we cannot be held responsible for photos or videos taken by other travelers without our awareness.

Occasionally, EurotourClub may work with professional photographers to capture images or videos for use in marketing materials. If a professional photographer is scheduled for your trip, you’ll be notified in advance and will have the right to decline or opt out of any photos or footage taken for this purpose, including any future promotional use.

  • If you request a printed brochure, we collect your name and mailing address.
  • When you enter a EurotourClub contest or engage with our ads or promotions (directly or through a partner), we may collect your name, country, ZIP code, phone number, email, and travel preferences.
  • Some of this information may auto-fill when you interact with our ads through third-party platforms, depending on your account settings.

We use this information only to personalize our communication, improve your experience, and ensure you receive relevant travel content.
Research and feedback
We may reach out to you after your trip to request feedback through surveys, research projects, or short interviews. This helps us continually improve our tours and customer experience.

When participating, we may collect your name, email address, booking number, and departure code, along with your rating and comments about your trip. Your feedback may be linked to your booking record for service improvement purposes.

If you’ve shared specific feedback or concerns, our team may contact you directly to discuss your comments or resolve any issues.
Job applicants
If you apply for a position with EurotourClub, we will collect personal information from your application and any supporting documents you provide. This may include your full name, contact details, home address, date of birth, and — where applicable — passport or immigration details.

We may also ask you to complete an application form that includes additional information such as gender, accessibility needs, and optionally, ethnicity. This information helps us comply with equal employment opportunity requirements and ensure an inclusive hiring process.

All data collected as part of a job application is used solely for recruitment purposes and managed in accordance with this Privacy Policy.

  • Providing our own and our partners’ travel products and services, managing reservations and itineraries, and maintaining your booking account (if you create one).
  • Managing business relationships with our partners, suppliers, and agents.
  • Communicating with you and managing your inquiries, feedback, or complaints — including reminders about unfinished bookings or important travel updates.
  • Enhancing our travel products, digital services, and customer experience.
  • Complying with legal obligations and assisting government authorities, regulators, or law enforcement when required.
  • Conducting marketing and promotional activities — for example, sharing relevant travel opportunities, surveys, and special offers that match your interests.
WHY DO WE COLLECT YOUR INFORMATION
At EurotourClub, we collect, store, and manage personal information for a variety of legitimate business purposes. This information helps us provide safe, seamless, and personalized travel experiences. Some of the key reasons include:
  • Delivering our travel products and services, as well as those of our trusted partners, managing your bookings and itineraries, and administering your account if you choose to create one.
  • Managing relationships with business partners, suppliers, and agents.
  • Responding to your inquiries, complaints, or other communications, or reminding you to complete a booking if it was started but not finalized.
  • Continuously improving our travel products, services, and overall user experience.
  • Complying with legal and regulatory obligations and assisting government or law enforcement authorities when required.
  • Conducting marketing activities, including informing you about other travel-related products or services that may be of interest and processing feedback forms.
Legal basis for processing your information
Under applicable privacy and data protection laws, including GDPR where relevant, EurotourClub must have a legal reason to collect, hold, use, share, or process your personal information. These may include:
  • Necessary for the performance of a contract – We process your personal data to fulfill a booking or inquiry, complete reservations as part of your planned travel, and manage your account.
  • Legitimate Interests – We may process information to operate and improve our services, prevent fraud, communicate with you regarding bookings or products you requested, and manage business relationships. We always balance our interests with your privacy rights to ensure proportional and respectful use of your data.
  • Legal Obligations – In certain circumstances, we may need your information to comply with local or international laws.
  • Vital Interests – In rare cases, your personal information may be processed to protect your health or safety, such as contacting medical or insurance providers during an emergency.
  • Consent – Where required by law, we will request your consent before processing your information, such as for marketing communications or newsletters.

You may withdraw your consent or opt out of marketing communications at any time.

Providing your personal information is voluntary; however, certain information is necessary to complete your booking and provide our services. For example, we cannot confirm a reservation without your name and contact details.
Making an enquiry or booking a trip
We use your personal information to organize and provide the travel products and services you request and book. This includes arranging flights, transportation, accommodations, and activities. The following points explain these purposes in more detail:
  • We may collect your personal information from someone you know, such as a family member or friend, if they are booking on your behalf.
  • Your personal information will be used by our group leaders to identify you and help ensure your safety during the trip.
  • Depending on your destination and the services being booked, suppliers may require certain personal information to confirm the booking. Local laws or authorities may also legally require us to provide travel documentation, such as passport details or a scanned copy of your passport.
  • Your contact information will be collected to manage our relationship with you, including sending updates about your booking, providing relevant information and tickets, handling feedback and complaints, and contacting you in case of an emergency.
  • Relevant information, which may include sensitive data, may be shared with insurance providers, their agents, and medical personnel in situations where we or they need to act on your behalf, in the interest of passengers, or during an emergency.
  • Where permitted by law, necessary for your safety, or with your consent, your medical or health information may be shared to ensure that we understand any specific needs you may have before and during your trip. Disclosing pre-existing medical conditions helps us prepare and support you better, ensuring your safety and enjoyment.

Except where it is necessary for your vital interests or required or allowed by law, medical and health information will only be used by EurotourClub with your consent. Medical/health information is considered sensitive, and by providing consent, you acknowledge that you understand and agree to our processing of this data. Providing medical/health information and consenting to its use is optional, but strongly recommended for your safety and wellbeing, including when requested.
Photo and video
Taking photos or videos is a popular way to capture memorable moments, which is why you may appear in visual media during your trip. Occasionally, images or videos captured by EurotourClub guides or staff may be of such high quality that our team wishes to use them in brochures, on our website, or for other promotional purposes. Additionally, a professional photographer may sometimes accompany your trip to create marketing content. In these cases, you will be provided with a consent and waiver form. Signing this form is entirely voluntary, and you are under no obligation to do so. EurotourClub will always respect your privacy and preferences when handling any personal information collected through visual media.
Marketing and other interactions
EurotourClub may use your information for marketing purposes, including:
  • To inform you about EurotourClub products and services that we believe may interest you.
  • To provide offers and deals on products or services from our partners.
  • To notify you about special trip deals, discounts, and promotions.
  • To manage promotional campaigns, feedback surveys, and similar activities.
  • To enroll you in Insiders, our email communications for customers who have traveled with us at least once, sharing information about discounts, competitions, and new trips.

These products and services may be offered by EurotourClub, our associated companies, or our brand partners.

We conduct direct marketing in full compliance with the laws of the country or jurisdiction in which you are located. To respect your privacy and maintain control over marketing communications, we limit direct marketing to a reasonable level and send only information that we believe is relevant to your interests, based on services you have purchased or expressed interest in.

If you receive electronic marketing from us, you may opt out at any time by emailing us at office@eurotourclub.com.

You can also adjust your browser settings to manage cookies, which may be used for online advertising. We recommend regularly reviewing privacy notices and preference settings on social media platforms and within your account with EurotourClub.
Research
EurotourClub conducts research and analyzes your information, including feedback and comments, to help improve our products and services and enhance your overall customer experience. This includes customizing online content and improving your booking and website interactions. We also use research to identify trends, new destinations, and future itinerary opportunities.

Your de-identified data may be used for internal reporting and analysis, such as evaluating partnership success, developing marketing strategies, and identifying trends.

We may contact you to gauge your interest in participating in research projects, surveys, and interviews. These activities help us understand how to improve our services, meet customer needs and expectations, learn about media consumption habits, understand travel motivations, and identify concerns. Your information collected during these research activities may be stored for future reference if relevant, and wherever possible, will be de-identified to protect your privacy.
Job applicants
Information collected from job applicants will be used to review and process your application, assess your suitability for the position, and facilitate communication with you. We may also use de-identified data to analyze applicant trends, identify potential barriers, and improve our job offerings and recruitment processes in the future.

If your application is successful, the information you provided will be transferred to our Human Resources system to create your employee profile.
HOW DO WE COLLECT YOUR INFORMATION
We may collect your personal information in several different ways. You might share it directly with EurotourClub, our travel consultants, or trusted partners such as travel agents, tour operators, or local guides. In some cases, your information may also come from third parties we work with — including insurance companies, accommodation providers, or medical service partners — when you communicate with us via email, phone, mail, or in person.

You may also provide details by completing an online or paper form, subscribing to our newsletter, joining a loyalty program, sending feedback, or participating in a survey.

In some situations, your information may be shared with us by someone else — for example, a friend or family member who books a trip on your behalf, or lists you as an emergency contact. Please note that in certain cases, we may rely on the instructions of the main booking contact to manage the reservation, which can include modifying or cancelling parts of the booking if necessary.
SHARING YOUR INFORMATION
Making an enquiry or booking a trip
To manage your enquiry, fulfill your requested products or services, or handle your booking, EurotourClub may share your personal information with the following:
  • Members of EurotourClub, including internal contractors and staff, such as local group leaders.
  • Our related overseas entities and Destination Management Companies.
  • Our network and branded partners (e.g., travel agencies, tour operators, Urban Adventures).
  • Travel providers (e.g., airlines, tour companies).
  • Other third-party operators (e.g., local operators, couriers, mailing houses, payment processors).
  • Other suppliers and service providers (e.g., hotels, transfer drivers).
  • In certain cases, government authorities (e.g., for border crossings or visa requirements).

For clarity, if you book a flight through EurotourClub or your trip includes air travel, the relevant personal information will be shared with the airline. Similarly, if your trip is operated by a non-EurotourClub affiliated tour company, your personal information will be shared with that company to confirm your booking and provide the requested services. We may also share information with travel providers or local third-party operators to improve services and experiences or to investigate complaints and disputes when necessary.

Please note that this does not include text messaging opt-in data and consent, which will not be shared outside the third parties involved in facilitating our SMS service. SMS program opt-in is not transferable.

We encourage you to review the privacy policies of all travel providers and tour operators you choose to use. EurotourClub is not responsible for the privacy practices of third-party travel providers and tour operators.
SMS terms of service
By subscribing to the EurotourClub SMS service through our website, you agree to receive recurring text messages containing updates, exclusive offers, and travel deals. Your consent to receive SMS messages is completely voluntary and is not a condition for purchasing any tour or service. Standard message and data rates may apply, and the frequency of messages may vary.

You may unsubscribe from our SMS communications at any time by emailing us at office@eurotourclub.com. If you need any assistance, our specialists will be happy to help you resolve the issue.

Please note that when using our SMS service, your information may pass through third-party systems, such as mobile carriers or SMS delivery platforms, which are not controlled by EurotourClub. While we take all reasonable measures to safeguard your information, we cannot be held responsible for the actions or privacy practices of those third parties.
Urban adventures
When joining one of EurotourClub’s city experiences or local excursions, your guide may invite you to check in digitally by scanning a QR code and filling out a short online form. This step is completely optional and not required for participation. The form may ask for your full name, phone number, email address, and country of residence.

EurotourClub uses this information to better understand our guests, enhance the quality of our tours, and improve our overall travel experience. Occasionally, we may analyze these insights to identify trends, popular destinations, or ways to make future itineraries more engaging. To support this process, limited data may be securely shared with trusted service partners who assist us in managing our research and digital systems.

Please note that any QR codes or online forms you access may be hosted by carefully selected third-party providers who operate under their own privacy policies and procedures. We encourage you to review their privacy notices before submitting any personal information.

During check-in, you might also have the option to subscribe to EurotourClub’s updates and travel offers. Subscribing is entirely voluntary and not required to join any of our tours.
Support services
EurotourClub works with a number of trusted third-party partners who help us operate, improve, and support our travel services. These collaborations allow us to deliver a seamless and reliable experience for our travelers. The types of partners we may share information with include:

  • IT service providers: We partner with professional technology companies that handle our website hosting, system maintenance, secure payment processing, data storage, troubleshooting, and other related technical operations. In some cases, they may need limited access to certain personal information to ensure everything runs smoothly.
  • Marketing partners: We collaborate with marketing specialists and promotional agencies that help us share travel offers, manage campaigns, and connect with new travelers who may be interested in our tours. These partners may assist us in sending promotional materials or providing insights to improve our communications.
  • Research partners: From time to time, we work with research organizations that help us collect feedback, conduct surveys, and analyze customer experience data. This helps us understand what travelers enjoy most and where we can improve.

We make every effort to ensure that your personal information remains protected at all times. All third-party partners working with EurotourClub are required to follow strict confidentiality agreements and may only use the information we provide to them for the specific purpose of performing their contracted services.
Sharing within EurotourClub
As an international travel company, EurotourClub may share your personal information within our organization and with our trusted partners across different regions. This allows us to coordinate travel services efficiently, ensure consistency in customer care, and manage operations smoothly worldwide.

Where appropriate, and only when permitted by law, we may also share limited personal information with our affiliated charitable initiatives to support social or community projects that align with our company values.

You can learn more about EurotourClub and our global network in the “Who We Are” section of this Privacy Policy.
Other sharing
EurotourClub may share or transfer your information as part of a business transition — for example, a merger, acquisition, financing, or the sale of part or all of our operations to another company. If such a change occurs, we will inform you by email and/or through a clear notice on our website, along with details about your available options regarding your personal data.

We may also share your information with relevant authorities and regulators, including privacy and data protection agencies, courts, or law enforcement when required to comply with applicable laws, regulations, or government requests.

Additionally, your information may be shared with insurance providers or medical professionals to prevent or investigate fraud, fulfill regulatory requirements, or when disclosure is necessary to protect someone’s life, health, or safety.

We may also share general, non-personal statistical data—such as website visitor numbers, browsing trends, and overall usage patterns—with our advertising partners to help us improve our services and communications.
Customer communication and trip updates
When you book a trip with EurotourClub, we may communicate with you through various channels such as Instagram, Facebook, LinkedIn, website chat, email, or phone calls. These tools allow us to provide your travel itinerary, send important updates, and ensure smooth communication with your tour leader and, when appropriate, with other travelers in your group.

To facilitate these communications, we may share limited booking information such as your name, email address, and trip reference number with our secure service providers. These providers help us send timely updates and manage your travel experience effectively.

Please note that any third-party platforms we use for communication operate under their own privacy policies, which we encourage you to review before sharing personal information through these channels.
SELLING DATA
EurotourClub does not sell, rent, or trade your personal information under any circumstances. Your privacy is always respected and protected.
CROSS-BORDER TRANSFERS
To provide our services, we sometimes need to share your personal information with our partners, service providers, and affiliated entities located outside of the United States. We work with service providers in over 50 countries worldwide, with our main partners based in Europe.

In some regions, local data protection laws may restrict transferring personal information across borders. In such cases, we take appropriate measures to ensure an adequate level of protection for your data, including contractual safeguards such as standard contractual clauses, or we rely on legally permitted exceptions where allowed. You have the right to request information about any safeguards we use when transferring your data outside of the United States.

Whenever we receive requests for information from law enforcement or regulators, we carefully verify these requests before disclosing any personal information.

If you have any questions about how your data is transferred or the protections in place, you can contact us for further details.
WHAT ARE YOU RIGHTS
EurotourClub wants you to feel confident that you have control over the personal information you provide. Depending on applicable data protection laws, and subject to certain exemptions or our legal basis for processing, you have specific rights regarding your personal information. These include:

  • You may request that we stop processing or using your personal information.
  • You may request that we delete any or all information we hold about you.
  • You may withdraw any consent you have previously given to us.

Where possible, we will comply with your request. However, there may be cases where fulfilling your request is not possible or may have consequences. We will always inform you of any consequences before proceeding or provide written reasons if we cannot fulfill your request.

Under certain data protection laws, including the EU/UK GDPR, you may also have the right to:
  • Withdraw your consent for our use of your information for marketing purposes.
  • Object to the processing of your personal information when we rely on legitimate interests.
  • Request that your personal information be transferred to you or a third party in a commonly used, machine-readable format.

For security purposes and to verify your identity, we may request additional information before releasing your personal data. Where permitted by law, we reserve the right to charge a reasonable fee if your request is manifestly unfounded or excessive.

We will only carry out these activities in a manner that does not compromise privacy, security, or other legal interests.

If you believe your personal information has been mishandled or your privacy rights have been interfered with, you may submit a complaint.
